Studio Policies

••

Ø       Shoes and outerwear should be left on the racks in the reception area.  It is a matter of personal preference whether or not to work out in bare feet or socks, the only exception being Cardio classes where tennis shoes must be worn.

 

Ø       Upon entering the studio please turn off all cell phones and be mindful of noise levels when class is in session.  While we are all here to work out physically, many clients have expressed a desire to relax and refresh mentally during class as well.  With that goal in mind, we suggest that conversations during class be kept at a level where they do not distract from the ongoing instruction being offered by our teachers.

 

Ø       We adhere to a 24 hour cancellation policy.  To avoid being charged for a “late cancel” please be sure to cancel by telephone, in person, by email or on the website at lease 24 hours before your scheduled class.  We maintain wait lists on our most popular classes, and should we be able to fill your spot with someone from the wait list, you will not be charged for the late cancel.   Conversely, if you are wait listed for a class and are called by our staff to inform you of such, it is essential that you get back to us at your earliest convenience to confirm your spot in the class.  If we do not receive confirmation from you within a reasonable period of time, we cannot hold the reservation and will call the next person on the wait list.  

 

Ø       We reserve the right to cancel any class when there are fewer than two people registered for the class.  If this should happen, clients will be given reasonable advance notice and no charges will be assessed.  

 

Ø       We will hold your class reservation for ten minutes once the class has begun, after which we will give your spot to any unreserved client standing by. If you know you will be more than ten minutes late and would like us to hold your spot, simply call and tell us you are on your way and we will be happy to hold your reservation until you arrive. Even if you are cancelling rather last minute, it still pays to call and cancel because you will not be charged if we are able to fill your spot with a stand by or wait listed client.

 

Ø       One of the best ways to stay in touch with studio news is through our website (www.potomacpilates.net) which is updated on a regular basis.  The site is an excellent way to learn more about class offerings and descriptions, schedule and cancel classes, and view the most current class schedules and teacher assignments.  You will find teacher bios and frequently asked questions on the site as well.  Please be sure to consult the website for the most up-to-date information regarding class cancellations and instructor changes.   While we make every attempt to adhere to the teachers as posted, we reserve the right to make last minute substitutions when necessitated in cases of instructor illness or other emergencies. 

 

Ø       It is always our goal to keep the studio open in cases of inclement weather.  Decisions on weather related class cancellations will be made on a class-by-class basis and will be posted on our voicemail line throughout the day in question.      If classes are being held and it is simply impossible for you to attend your scheduled class, please give us a call and we will try to be accommodating.     If all else fails, healthy and well behaved children are welcome to sit in our reception area while Mom is in class.

 

Winter Weather Policy

 

 

As we enter the winter season, we would like to take this opportunity to outline our cancellation and notification policies in case of snow and icy conditions. 

 

Since so many of our clients have childcare arrangements in cases where there are school closings due to bad weather, we will NOT strictly follow Montgomery County school closings in deciding whether or not to hold classes here at Potomac Pilates.  Our instructors will be up very early and checking on weather conditions on “questionable weather” days. 

 

Please do not assume that the studio is closed in cases of schools being closed!  We have found in the past two winter seasons that many of our clients want and expect to come in and take classes when schools are closed for a few inches of snow.  On the other hand, we do not want teachers or clients endangering themselves in uncertain driving conditions, so this is how it will work:

 

-          If any classes are being cancelled, a message advising which class times are affected will be posted on the studio voicemail early in the morning AND the new winter advisory banner at the top of our studio website will be updated to reflect the closings for that day. To access the studio website ‘Winter Weather Watch’:

·         Log onto www.PotomacPilates.net

·         In the left hand column click on ‘Winter Weather Watch’ (only during winter months)

·         Along the top of the scheduling page will be a banner with the changes for the classes for the day.

 

 

-          If you are unable to attend your class because of winter weather conditions, the 24 hour cancellation window for those classes will be relaxed, but you must cancel ONE HOUR prior to the scheduled time to avoid a late cancel.   It will be the clients’ responsibility to cancel their appointment with us before the one hour on days when schools are closed and/or weather is questionable, but the studio is open. This is a courtesy so that our instructors know, within a reasonable amount of time, whether or not they need drive to the studio on days when the weather is bad.

Potomac Pilates Payment Policy

New Clients

Cardio, Mat and Strength Training Classes are open to all Clients regardless of fitness level.

New clients are required to take at least 1 Beginner Class.  From there your instructor can decide if you are ready to move to the next level. New Clients may purchase an intro package, which is offered for a discounted rate of $90 and has a 1 month expiration.

The 24-hour cancellation policy is in affect for all prepaid classes.

If you do not cancel within 24 hours of your scheduled class you will be charged for the class. This is to ensure that spots are available for clients who intend to be present in the class.

Drop-in Payment Policy


Single classes can be purchased for $20 per point. While we welcome drop-ins, keep in mind that classes may be full and classes with less than three (3) people are subject to cancellation. If you plan on dropping in it is best to let us know so we can verify that there is space in the class.
